Configuration & Operation
As the administrator of your system, you will be able to comprehensively configure and adapt your PiSA sales CRM suite. The easy-to-use administrator backend gives you full access to all attributes, fields, and functions. If, for example, a unit at your company should need its user interface or system functionality to be modified, the “easy customizing” tool will let you do so with just a few clicks of the mouse. It is easy enough to modify selection lists or process templates, too.
User interfaces and access rights are managed on the basis of roles and profiles. They allow you to make tailored interfaces and functions available for the specific requirements of any operating area. Changes can be quickly made, or undone, and the details thereof recorded in a journal for reference.
The access-management function in PiSA sales allows you to define user rights all the way down to the level of individual fields and functions, thereby preventing any sensitive information from falling into the wrong hands.

At the core of the PiSA sales ERP interface technology is a generic PiSA sales ERP Connector. This connector uses modern, standardized technologies and provides multiple bidirectional data-sharing options between ERP and CRM.
The PiSA sales XML Engine lets you generate an XML document for any set of data. If the desired data is available in structured form on the ERP side, it can be automatically translated into XML.
Documents in XML format are therefore excellently suited for bidirectional data exchanges. The required translation rules will be set out and maintained in XSL style sheets for both directions. Writing access to business-object functions in SAP systems can be steered using JCO BAPI with access via remote function calls. In this scenario, PiSA sales uses predefined BAPIs as the standard method, thereby ensuring that the BAPIs accessed are invariably up to date and well maintained. The neutral interface to the outside is fixed and requires no special maintenance in the event that a new release is introduced.
Synchronous data exchange may transpire in a neutral data format using interface tables at the database level. The advantage of this concept is that it does not rely on realization details through abstraction, on the fail safety of data exchange through continued feeds in the interface table, or on a high level of error tolerance through the tagging of stored information and automatic resetting subsequent to correction.
Asynchronous initiation of a data transmission through the ERP system uses CSV files for synchronization with PiSA sales. The system identifies the difference between the existing and the updated data and makes that information available as a CSV file in PiSA sales format. The data is transferred to the CRM system with the help of an integrated standard CSV import scanner. Smooth data exchange requires that CSV files be extracted from ERP data and that those CSV files are in keeping with the specifications for the PiSA sales CSV format.
Web services may also be used for coupling with third-party systems; those web services are adaptable to your particular requirements.
Groupware & Office
The standard coupling of Outlook/Exchange and Lotus Notes will give you bidirectional synchronization capability for the synchronization of all contact information, tasks, appointments, memos, and e-mails plus attachments. A highly user-friendly, click-of-the-mouse function is available to initiate comparisons between PiSA sales and your groupware. The system can automatically synchronize appointments. Enter an appointment in one system, and it will soon be available in the respectively other application.
For the purposes of synchronizing e-mails, it is possible to automatically allocate contacts or to establish links to products, other contacts, and cases (business opportunities, quotes, orders, service-incident reports, or marketing measures). That way, e-mails are always properly linked contextually and are retrievable at all times.
Your PiSA sales system thus becomes the central location for e-mail archiving by your sales, marketing, and service operations. Deep integration into Microsoft Office and Open Office will allow you to import a document to PiSA sales CRM and to link it with any contacts, activities, and cases at the click of a button. Provided their access rights allow, users can now also retrieve the document for shared viewing or editing.
PiSA sales CRM provides an independent document-management function which allows any documents (quotes, product brochures, or reports, for example) to be stored in a contextually relevant location. If you are already using a document-management system (DMS), that system can be coupled with PiSA sales CRM. The DMS interface will link document records maintained in PiSA sales with the documents/files physically created and managed in your DMS. Users will be able to access all DMS documents from the PiSA sales system and work with those documents in the CRM suite.
You will benefit from the convenient meta-data search function for documents in PiSA sales and from the ability to employ DMS functionalities from within your CRM system (e.g. full-text searches, scanner connectivity, OCR).
The coupling of your telephone system with PiSA sales CRM offers the advantages of convenience, time saving, and the ability to address your customers and business partners in an even more personalized fashion.
It takes only a fraction of a second to click and thus select and dial the phone number of a contact. The system will know you are conducting a phone conversation and will therefore automatically offer you the option of documenting it in the respective contact history. All attempts to reach a number and all outgoing calls successfully placed can be documented in the contact history and user record and a report can be issued upon request. That report will automatically include information about the time of call placement and about the duration of that call.
The system will identify incoming calls by the number, automatically attaching the name of the contact filed in PiSA sales to that phone number. The file will be opened for you to directly view all relevant information about the caller’s contact history and the relevant sales, marketing, or service cases. A graphic status bar will show you at a glance whether, for example, there are any escalated service-incident reports open for this contact or if there is possibly an open quote that you should address.
Should the system ever be unable to clearly identify a caller by the caller ID number, it will automatically offer you the option of searching for the caller in the database using the unvarying root part of the caller’s phone number.
The bidirectional interface between PiSA sales CRM and the Inxmail Professional e-mail-marketing solution offers a number of unique benefits for modern e-mail marketing. The contacts selected from your CRM system are transferrable to the Inxmail recipient list at the click of a button.
The information thus transmitted will include not only the name of and appellation for a contact, but also, for example, the name of the company, the contact’s position there, and the name of the responsible sales contact there. All this data can then be used to highly personalize your e-mails.
Inxmail Professional lets you efficiently compose and personalize mass mails with the help of predefined templates. Once your mails have been issued, the interface will ensure that all recipient-linked response data (mail openings, click behavior, bounces, de-registrations) will be made available in PiSA sales CRM. The interest profiles thus created can be used to generate targeted reports and to feed subsequent campaigns (close-loop marketing).
The deep integration of both systems also facilitates cross-departmental transparency, since it will give all users at your marketing, sales, and service units access to all information on customer communications as well as to detailed evaluations.
